Administrative Assistant / Assistant Property Manager (Newark – (Near Universities))
Property management and advertising company seeks part time (starting at up to 15 hour per week) Administrative Assistant / Assistant Property Manager with 2 years experience in multi-family management. We require a highly self-motivated, trustworthy, computer literate & highly organized person to manage a small real estate portfolio and be a contributing team member of an advertising company. This position will be direct support for the entrepreneurial owner of these companies. Candidate must be able to work completely independently, coordinate remotely with management team, thrive in a fast-paced environment, and be a fast learner. A NJ real estate licence is not necessary for this position, but welcomed.
Responsibilities:
o Property Management support to include interaction with prospects and tenants, coordination & tracking of repairs, apartment inspections, writing leases, advertising & showing of available apartments
o General Property Management field work (Accompanying on Site inspections, site tours, open houses, emergency handling, tenant landlord communication, reporting, leasing, tenant turnovers, etc)
o Customer service, email correspondence, and some sales initiation
o Performs diverse administrative & personal assistance tasks
o Quickbooks & Buildium bookkeeping for the two companies
o Accounts payable, accounts receivable, profitability analysis
o Other duties as assigned
Requirements:
o 5+ years relevant customer service, sales, and/or administrative experience
o Have or develop working knowledge and continuing level of proficiency of software programs including:
o QuickBooks & Other software
o Internet Explorer and web search engine functionality
o Working knowledge of Google Docs & Calendar
o Microsoft Word, Outlook, Excel
o Photoshop / Digital Photography a plus
o Excellent phone, time management, and customer service skills
o The ability to effectively juggle multiple priorities and tasks
o Experience manging vendors and contractors
o Demonstration of excellent written and oral communication
o Willingness and enthusiasm for learning and acquiring news skills and knowledge
o Ability to ensure accurate and timely completion of projects
o Well organized, detail-oriented, trustworthy and dependable
o NJ Driver's License, Vehicle & Digital Camera
o Spanish / Portguese speaking a plus
o Must be available for extra hours from May until September
